1. Route Setup
Tell us pickup, drop-off, timing, contact, and what you're sending. Use the Route Setup form, text us, or call. Recurring stops only need to be set up once — we save the route and dispatch automatically thereafter.
2. Confirmation & dispatch
You get a job reference (e.g. WA-AB12CD) the moment we receive the request. STAT requests are dispatched immediately; scheduled and recurring runs are queued for the agreed window.
3. Pickup with chain-of-custody
Driver verifies pickup contact, scans or notes the package, and starts the chain-of-custody log. Specimens go straight to the appropriate carrier or compartment (ambient, refrigerated, frozen).
4. Delivery + signed POD
Driver hands off to a named recipient at drop-off, captures a signature and photo of the package in place, and the proof-of-delivery is attached to your job reference for audit.

Pricing Factors
What goes into a STAT or lab specimen rate
Every quote weighs the six factors below. We give you a flat per-stop rate so the same recurring run doesn't surprise you on the invoice.
Urgency
STAT and after-hours dispatch carry a premium because the driver leaves for your job before any other route. Same-day and recurring routes are the most economical.
Distance & route complexity
Total miles plus the number of stops and any toll/return legs. A direct A→B run prices differently than a multi-stop loop.
Temperature & handling
Ambient is the baseline. Refrigerated (2–8°C) and frozen specimens require validated coolers and add to the rate.
Specimen type
Standard whole-blood, urine, and culture transport vs. fragile tissue, controlled substances, or biohazard requiring secondary containment and tracking.
Time of day
Standard business hours, after-hours, weekends, and holidays each price differently. Recurring routes lock in your standard rate.
Compliance overhead
HIPAA chain-of-custody, signed POD, BAA, and COI documentation are included for healthcare clients — no separate fee, but they're built into the per-stop rate.

Routine lab specimen run
Same-day, single pickup → drop-off, ambient or refrigerated. Most cost-effective when scheduled as a recurring weekday route.
STAT specimen
Dispatched immediately. Direct drive, no other stops. Premium rate reflects exclusive driver use and 30–60 minute pickup.
Pharmacy delivery
Same-day, signature required at recipient. Refrigerated handling available for cold-chain medications.

Yes — most of our clinic and lab clients run on recurring schedules (daily, weekday-only, Mon/Wed/Fri, weekly, etc.). We set the route up once with the pickup, drop-off, time window, and contacts, then dispatch automatically. Recurring routes get a lower per-stop rate than one-off requests because we lock in the driver and timing.

STAT requests are dispatched immediately with a 30–60 minute pickup target. Same-day priority runs use a 2-hour pickup window you choose at setup. Scheduled and recurring routes use a tighter 30-minute window at the agreed time. We confirm the exact ETA when we accept the job.

Tell the dispatcher when you set up the route. We can run a flexible window (e.g. 'between 2pm and 4pm, call 30 min before') or a hard time. For recurring routes you can also call/text us by 8am to push that day's pickup earlier or later without changing the standing schedule.

Every package gets a job reference at intake. The driver verifies the named pickup contact, scans or notes the package, and timestamps each handoff. Specimens travel in the correct compartment (ambient, refrigerated 2–8°C, or frozen). At drop-off the driver hands off to a named recipient, captures a signature and a photo of the package in place, and the proof-of-delivery is attached to your job reference for audit.

Yes. We use validated coolers for 2–8°C refrigerated transport and dry-ice or frozen-gel-pack handling for frozen specimens. Tell us the temperature requirement at route setup so the right carrier is loaded before pickup.

Yes. We operate with HIPAA-aware handling, secure chain-of-custody, and we sign a Business Associate Agreement with every healthcare client. COI and BAA are provided as part of onboarding — no per-job paperwork fees.

Pickup address and on-site contact, drop-off address and recipient, package type (lab specimen / pharmacy / records), urgency, and timing. For recurring routes, the days and time window. We never ask for or accept patient names, DOBs, MRNs, or any PHI — only what's needed to get the package from A to B.

Healthcare accounts are invoiced on agreed billing terms (typically monthly net-15 or net-30). One-off requests can be paid at completion. There are no per-incident surcharges for HIPAA documentation, POD, BAA, or COI — those are built into the per-stop rate.
